4. Reservations & Bookings

Reservations may be made through our website, by telephone, email, or any other approved booking method.

A reservation request does not automatically guarantee transportation services.

Your booking becomes confirmed only after:

  • Reservation details have been reviewed,
  • Vehicle availability has been confirmed,
  • Required information has been received,
  • Payment or deposit requirements (if applicable) have been satisfied, and
  • A confirmation has been issued by DFW Elite Chauffeur.

We reserve the right to decline or cancel reservation requests that cannot reasonably be accommodated.


5. Customer Responsibilities During Booking

Customers are responsible for providing accurate reservation details, including but not limited to:

  • Passenger name
  • Contact information
  • Pickup address
  • Destination
  • Pickup date and time
  • Flight details (if applicable)
  • Number of passengers
  • Estimated luggage
  • Special requests

Incorrect or incomplete information may result in delays, additional charges, or cancellation of service.


6. Pricing & Quotes

Prices displayed on our website or provided through email, telephone, or quotation requests are estimates unless otherwise stated.

Final pricing may vary depending on factors including:

  • Pickup location
  • Destination
  • Vehicle selected
  • Trip duration
  • Waiting time
  • Route changes
  • Additional stops
  • Tolls
  • Parking fees
  • Airport fees
  • Special requests

All applicable taxes and fees will be disclosed whenever reasonably possible.


7. Additional Charges

  • Cleaning fees resulting from excessive mess or damage
  • Vehicle damage caused by passengers
  • Excess luggage requiring a larger vehicle

  • Road tolls
  • Other reasonable operational expenses

Customers are responsible for these additional costs when applicable.


8. Airport Transfers

For airport transportation services, customers should provide accurate flight information during booking.

We may monitor flight status to help coordinate pickup times; however, customers remain responsible for informing us of significant itinerary changes whenever possible.

Airport pickup procedures may vary depending on the airport, terminal, airline, security regulations, or local operating requirements.


9. Flight Delays

We understand that commercial flights may arrive earlier or later than scheduled.

When flight information has been provided, we make reasonable efforts to monitor arrival times and adjust pickup schedules accordingly.

However, we cannot guarantee availability in cases involving substantial delays, cancellations, diversions, missed connections, or unexpected operational disruptions.


10. Waiting Time

Reasonable complimentary waiting time may be provided for certain reservations, depending on the service booked.

Additional waiting time beyond the applicable grace period may result in extra charges.

Waiting time policies may differ for:

  • Airport pickups
  • Residential pickups
  • Hotel pickups
  • Corporate transportation
  • Hourly chauffeur services

Customers should remain available using the contact information provided during booking.


11. No-Show Policy

A reservation may be considered a “No-Show” if:

  • The passenger cannot be reached after reasonable attempts,
  • The passenger fails to arrive at the designated pickup location within the applicable waiting period,
  • Incorrect contact information prevents communication,
  • The passenger departs the pickup location without notifying us,
  • The customer otherwise abandons the reservation.

No-Show reservations may be subject to cancellation fees or the full reservation charge, depending on the circumstances.


12. Cancellations

Customers who need to cancel a reservation should notify us as soon as possible.

Cancellation requests should be submitted through the same communication method used to make the reservation whenever practical.

Cancellation fees, if applicable, will depend on factors including:

  • Notice provided before pickup,
  • Vehicle reserved,
  • Special event bookings,
  • Airport transportation,
  • Chauffeur scheduling,
  • Operational costs already incurred.

Specific cancellation terms may be communicated during the reservation process for certain services.


13. Refund Policy

Refund eligibility depends on the circumstances surrounding the reservation and the applicable cancellation terms.

Approved refunds, where applicable, will generally be processed using the original payment method.

Certain fees, including operational expenses already incurred, third-party charges, or non-refundable booking costs, may not be refundable.


14. Payment Terms

15. Vehicle Availability

Although we make every effort to provide the vehicle selected during booking, vehicle availability cannot always be guaranteed.

Operational requirements, maintenance, safety inspections, mechanical issues, or unforeseen circumstances may affect fleet availability.

If necessary, we may provide a comparable or upgraded vehicle at no additional charge whenever reasonably possible.

No vehicle substitution will reduce the quality or safety of the transportation service.

 

 

16. Passenger Conduct

To ensure a safe, comfortable, and professional experience for everyone, passengers are expected to behave respectfully throughout the journey.

Passengers agree to:

  • Follow all applicable laws and regulations.
  • Treat chauffeurs with courtesy and respect.
  • Follow reasonable safety instructions provided by the chauffeur.
  • Wear seat belts where required by law.
  • Avoid any behavior that may endanger passengers, chauffeurs, or the public.
  • Respect the cleanliness and condition of the vehicle.

DFW Elite Chauffeur reserves the right to terminate a trip if passenger behavior creates a safety concern or violates these Terms.


17. Smoking, Alcohol & Illegal Activities

For the comfort and safety of all passengers:

  • Smoking, vaping, or the use of tobacco products is prohibited inside our vehicles unless expressly permitted by law and by the Company.
  • Illegal drugs, controlled substances (unless lawfully prescribed), and unlawful activities are strictly prohibited.
  • Passengers may not transport illegal items or hazardous materials.
  • Open containers of alcoholic beverages must comply with all applicable federal, state, and local laws.

If a passenger violates these rules, the chauffeur may end the trip immediately without refund, and additional cleaning or damage fees may apply where appropriate.


18. Luggage Policy

Passengers are responsible for ensuring that the amount and size of luggage matches the vehicle reserved.

If luggage exceeds the capacity of the reserved vehicle:

  • A larger vehicle may be required.
  • Additional charges may apply.
  • Transportation may be delayed until a suitable vehicle is available.

Passengers are responsible for carrying items that require special handling unless assistance is specifically arranged.


19. Child Safety Seats

The safety of children is important to us.

Parents or legal guardians are responsible for complying with all applicable child passenger safety laws.

If a child safety seat or booster seat is required by law, it should be requested during the booking process or provided by the passenger unless otherwise agreed.

Failure to comply with applicable child safety requirements may result in the refusal or cancellation of service.


20. Pets

Pets are welcome only with prior approval.

Customers traveling with pets should notify us before the reservation is confirmed.

Approved pets must be properly secured in an appropriate carrier or restraint when required for safety.

Service animals will be accommodated in accordance with applicable law.

Passengers remain responsible for any damage or excessive cleaning resulting from transporting pets.


21. Lost & Found

Passengers are responsible for ensuring they remove all personal belongings before leaving the vehicle.

While we make reasonable efforts to assist in recovering lost items, DFW Elite Chauffeur cannot guarantee the recovery of property left in our vehicles.

Recovered items may be returned by pickup, delivery, or shipping. Applicable shipping or delivery costs may be the responsibility of the owner.

We are not responsible for lost, stolen, or damaged personal belongings.


22. Vehicle Damage

Passengers are responsible for damage caused by themselves or members of their party.

This includes, but is not limited to:

  • Interior damage
  • Exterior damage
  • Excessive cleaning
  • Vomit or bodily fluid cleanup
  • Burns
  • Broken equipment
  • Damage caused by negligence or intentional misconduct

Customers may be responsible for reasonable repair, replacement, cleaning, and loss-of-service costs resulting from such damage.


23. Service Delays & Force Majeure

While we strive to provide timely transportation, certain events are beyond our reasonable control.

These may include:

  • Severe weather
  • Traffic accidents
  • Road closures
  • Construction
  • Natural disasters
  • Public emergencies
  • Government actions
  • Labor disputes
  • Mechanical failures
  • Airport operational delays
  • Internet or communication outages
  • Other unforeseen circumstances

DFW Elite Chauffeur will make reasonable efforts to minimize disruptions; however, we shall not be liable for delays or service interruptions resulting from events beyond our reasonable control.


24. Limitation of Liability

To the fullest extent permitted by applicable law, DFW Elite Chauffeur shall not be liable for indirect, incidental, consequential, special, exemplary, or punitive damages arising from or related to the use of our website or transportation services.

Our liability, if any, shall be limited to the amount paid by the customer for the specific reservation giving rise to the claim, except where prohibited by law.

Nothing in these Terms limits liability that cannot legally be excluded under applicable law.
